How to Choose a DAM System: A Practical Evaluation Guide

Choosing a DAM system starts with understanding what your company wants to improve, what assets it manages, and how people need to use them. The right platform should support your metadata, search, workflows, permissions, integrations, security, and future growth without adding unnecessary complexity. Compare systems based on everyday usability, total cost, and how well they fit the way your team works.
Many DAM buyer's guides assume you have a procurement team, a system administrator, and months to compare vendors.
But most marketing and creative teams have a simpler job: find a system people will use, solve the current problem, and avoid buying more complexity than the team can maintain.
The most reliable way to choose a DAM is to test your own work in it. That means using your real files, real daily searches, and one or two workflows that already cause trouble. A polished feature tour won’t tell you whether your team can find last year’s campaign image on a busy Tuesday morning.
What does your company want to establish with a DAM?
Start by describing the change the company wants to make. A DAM may be intended to establish:
One trusted source for current, approved assets
Faster search across images, video, documents, and creative files
Clear version, approval, rights, and expiry controls
Self-service access for employees, locations, agencies, or partners
A reusable archive that preserves work and its context
Consistent asset distribution across brands, markets, or channels
Choose the two outcomes that matter most, then complete this sentence:
We need a DAM because __________, and we will know it is working when __________.
Keep the answer specific. “We need better organization” is too broad to guide a purchase.
This answer is crucial because it becomes the first evaluation criterion. If a vendor cannot demonstrate that outcome with your files, the rest of its feature list carries less weight.
Confirm that DAM is the right category
A DAM is a good fit when the problem involves findability, version control, permissions, rights, reuse, or distribution across a growing library.
Another tool may be the better first investment when:
Work is getting stuck before files are created. Look at project or work-management software.
Product data is inconsistent across sales channels. You may need a product information management system, often connected to a DAM.
The main problem is publishing web pages. A content management system may be the priority.
The team only needs a small, stable folder of current files. Clean up the shared drive before adding a new platform.
The work centres on frame-accurate video production. A media asset management or video-review tool may fit better.
If you are still defining the category, start by skimming over digital asset management. Marketing teams should also define the asset lifecycle, approval rules, rights, and distribution model they expect the DAM to support.

Use a representative sample if the full count is unknown. The estimate should be good enough to test platform fit, migration effort, and three-year cost.
The eight areas worth evaluating
Search and discovery – Can someone find an approved asset without knowing its filename or folder? Does search recognize visual content, document text, spoken words, and metadata, and can users filter by status, market, language, rights, or expiry?
Organization and metadata – What metadata structure does the company need, including required fields, hierarchy, controlled terms, synonyms, and inherited values? Which metadata can the platform generate or apply automatically, and who will maintain the structure after launch?
Versions, approvals, and rights – Can users identify the current approved version and see the review or approval history attached to it? Can licences, consent, territories, and expiry dates affect whether an asset appears or can be downloaded?
Permissions and external sharing – Can access be set by role, department, client, location, collection, or individual asset? Can external users receive only the approved content they need, with download controls, expiring links, and immediate revocation?
File and media support – Can the platform preview and process the image, video, audio, document, presentation, and design formats the company uses? Can users search video or audio content and create required formats or renditions without altering the master file?
Migration and integrations – What happens to folder paths, metadata, versions, permissions, duplicates, and unsupported files during migration? Which current tools connect directly, through an API, or through custom work, and what additional costs apply?
Security, hosting, and administration – Where are files, metadata, and backups hosted, and can the vendor meet the company's privacy, residency, retention, deletion, and export requirements? Does the platform provide the required security certifications, encryption, audit records, SSO, permissions, recovery measures, and user administration?
Adoption, support, and total cost – Can a first-time user complete common search, preview, download, and sharing tasks without extensive training? What onboarding, migration help, support, and pricing changes should the company expect as storage, usage, integrations, and AI processing grow?
Keep the final decision small
Two finalists are usually enough. Give the same three to five users access to both systems and assign the same tasks. Include at least one person who did not write the requirements.
Collect their feedback separately before discussing it as a group. Otherwise, the most senior or enthusiastic person can shape everyone else's score.
Before signing, confirm:
The must-have tests passed.
Security, privacy, and legal reviews are complete.
Migration and post-launch governance have named owners.
The first library and launch group are defined.
